Privacy notice

This notice explains what happens to personal data you submit through the forms on this website. It is written for trade contacts — the people who ask us for samples, quotations, the catalogue or a general reply.

Who is responsible

Mallikarjuna Stones Ltd (UK company number 17314931) is the controller for the personal data described in this notice. The company sells Shahabad limestone direct from its own quarry and polishing yard in Karnataka, India, and exports worldwide. The UK sales office is at 16 Lock Keepers Court, Cardiff, CF10 3EZ, United Kingdom.

For a copy of your data, a correction, a deletion request, or any other question about this notice, email [email protected]. Trade enquiries themselves continue to go to [email protected]. We aim to reply to privacy requests within one calendar month.

What each form collects

The site does not create user accounts and does not run a newsletter. The only personal data we ask you for on this website comes from the forms below. A hidden honeypot field labelled “website” is also present on each form to deter automated spam; it must be left empty and is never used for any other purpose.

  • Request a sample — name, company, role, email, telephone, country, stones of interest, finishes of interest, application, optional estimated volume, delivery address, and optional notes.
  • Request a quote — project name, name, company, role, email, telephone, stone, finish, quantity, delivery port or postcode, timeline, and optional notes.
  • Contact — name, company, email, topic and message.
  • Catalogue request (used when the PDF is not yet available for direct download, including the exit-intent prompt) — name, company, email and country; or, on the exit-intent prompt alone, email only.

When a form is submitted successfully, the same details are summarised in a confirmation email sent back to the address you gave.

We do not ask for special-category data through these forms, and we do not knowingly collect information about anyone under 18. Please do not send personal data that we do not need in order to answer the enquiry.

How submissions are sent and who receives them

Form submissions are posted to our own server and then emailed by Resend, which we use as a processor to deliver mail. Two messages are sent for each successful submission:

  • An internal notification to [email protected], with Reply-To set to your email address so the sales team can answer you directly.
  • A confirmation to the email address you entered, summarising what you submitted and giving our contact details.

Resend processes the message content only to deliver those emails. We do not sell enquiry data or share it for advertising.

UK and India

Enquiries are handled by a business that operates in both the United Kingdom and India. Staff in the UK sales office and at the quarry and polishing yard in Kalaburagi district, Karnataka, may access enquiry emails. If an enquiry leads to an order, related contact details may also be shared with the freight forwarder, customs agent, shipping line and haulage contractors needed to move the stone to your delivery port or yard, wherever that is.

Lawful basis

  • Legitimate interests — reading and answering a trade enquiry you chose to send us: arranging a sample, preparing a quotation, sending the catalogue, or responding to a message. We use the data for that purpose and for a record of the exchange.
  • Contract — once a purchase order is raised, processing the data needed to price, produce, pack, ship and invoice the order.
  • Legal obligation — keeping records where tax, customs or company law requires it.
  • Consent — optional analytics cookies, only if you choose Accept on the cookie banner. See the cookie policy. You can withdraw that consent at any time.

How long we keep enquiry data

  • Website enquiry emails (sample, quote, contact and catalogue requests) and the details they contain: 24 months from last contact.
  • Accounting and shipping records after an order is placed: 6 years, the standard UK statutory period.

Server logs used to protect the forms

When you submit a form, our server may briefly use your IP address for a basic rate limit (to reduce automated abuse). That check is in memory on the server and is not used for marketing. Our hosting provider may also keep ordinary web-server access logs for security and reliability.

Your rights

Under UK data protection law you may ask for a copy of your personal data, ask us to correct it, ask us to delete it where we have no continuing legal or contractual reason to keep it, object to processing based on legitimate interests, ask us to restrict processing while a concern is resolved, and ask for portability of data you provided to us. We do not use automated decision-making or profiling on this website.

Send those requests to [email protected]. If you are not satisfied with our response you can complain to the Information Commissioner’s Office at ico.org.uk.

Security and changes

Form submissions travel to our server over HTTPS. Emails are sent to Resend over an encrypted connection. Access to the sales inbox is limited to staff who need it to answer trade enquiries. If this notice changes in a way that matters, we will update this page.
